Report on the training session of staff members focusing on making reports

On Tuesday July 16th, 2024 we held our very first training on how to make reports, the training session was attended by all our volunteers and also members from three other different organizations who also benefited.

Problematic

As organization we are working on various things in the Democratic Republic of Congo which are not fully covered, sometimes not well known, and on top of that DRC is facing a challenge of information in different fields of work. Our volunteers who are fully engaged in our activities needed training in order to focus on key issues which they should bring to the public through reports, and also reports are in line with our policy of accountability which we have made a priority. However still questions remained, on how to make a report.

In order to answer to this question we came with a model which we believe may help for a while, it may still be improved from time to time.

The training was based on sharing information among participants and on reminding each other key concepts and key words that are important.

Objectives

The purpose of this training was to impart new skills to the participants in order to provide accurate information and influence more other people through regular reports.

Our objectives were achieved and participants enjoyed the training

Model

Participants were urged to first of put in mid what they want to report, who wants it, why they want to do it, when, and how.

Reports may have different objectives including, to communicate with an aim to influence others, to push people to act, to bring to people accurate information, and provide something new which people did not know.

Two types of reports

Participants were told about activity reports and situation reports. More attention was put on activity reports which should have the introduction of the activity, the geographic location, the people, the structures and actors.

Then the problem the activity intends to solve, the objectives of the activity and specific actions that will be done. This should be in line with the planning of the activity. The report should also focus on the results, achievements, challenges, threats, opportunities and way forward.
